What can I do at TAHQ?
TAHQ offers the most advanced booking tool available, POLAR Online. You can make online bookings and manage groups as well as access sales tools and promotions, order sales materials and register for agent training. First, you must register your agency with Holland America and then for POLAR Online.

How do I sign up to sell Holland America Line?
The documentation we need to set up your agency depends upon your location. Please see the below criteria for U.S. and Canadian agencies.

U.S. (excluding U.S. territories):

  • A letter on agency letterhead signed by an owner/manager requesting to do business with HAL. Please make sure this includes all agency contact information. Feel free to include an email you would like to use as your default for booking confirmations and notifications.
  • A W-9 form signed by an owner/manager. You can download a blank W-9 form here.
  • A copy of your IATA, ARC, True, or CLIA certificate or a copy of your state business or seller of travel license. Please make sure the license includes the words “Business License” or “Seller of Travel”. Click here to see if your state's license is acceptable.

Canada:

  • A letter on agency letterhead signed by an owner/manager requesting to do business with HAL. Please make sure this includes all agency contact information. Feel free to include an email you would like to use as your default for booking confirmations and notifications.
  • A copy of your IATA, ARC, True, or CLIA certificate or a copy of your state business or seller of travel license. Please make sure the license includes the words “Business License” or “Seller of Travel”. Click here to see if your state's license is acceptable.

What do I do if my agency information needs to be updated?
To update your agency simply send Operations Support (fax: 206‐577‐7080) a letter signed by an owner/manager requesting the change. Make sure to include the old and new information so we can locate your agency in our system. If the change involves a new IATA, ARC, True, CLIA, or business license number please include a copy of the new certificate. If your agency has a new owner or you otherwise need to revise your agency’s U.S. Tax ID# please include a signed W-9.

However, if you are changing your agency’s name we require you to submit the same documentation as if you were a new agency (see: How do I sign up to sell Holland America Line?). All documents should have the new agency name.

How do I get my agency to show up on Locate a Travel Professional?
Once you make a booking your agency will automatically appear on the Locator (General Information: Booking Options) after the following Saturday. Each week it is automatically updated with new agencies and contact information from our system. These updates will also remove agencies that no longer have any bookings on file with us.

How do I sign up for POLAR Online and TAHQ?
The Agency Owner or Manager can register their Travel Agents at travelagentheadquarters.com by clicking on the link to Register for POLAR Online. Signing up is easy and detailed help is available throughout the process. If you need more help, please call OneSource at the toll-free phone number 1‐800‐544‐9032. OneSource will not be able to register a user over the phone, it must be done online by the Agency Owner or Manager.

How do I change my username & password?
Once you have received your default username and password for Polar Online you should change your password for security reasons. First, you’ll need to log in via TAHQ, which can be found near the center of the bottom of the Holland America homepage. Once you’ve logged in, click on “New Reservations”. You’ll see a menu list on the left and fourth from the bottom click on “Agency Profile”. Again, on the left side you should see a few options. Within “Edit My Account” you will be able to update your user information, including the username, password, and email address.

How do I set up bank payments within Polar Online? (U.S. & Canadian Agents Only)
Once you are registered and have signed in to Polar Online select the “Manage Accounts” option under Agency Owner Tools. You can set up multiple accounts, but first you will need to accept the terms and conditions. Please read these carefully. If you are using a U.S. bank account you will now be free to enter your banking information. If you are using a Canadian financial institution you will need to complete and submit a Payor’s Pre-Authorized Debit (PAD) Agreement, a copy of which is available at the end of the terms and conditions. Once you’re finished you can now select “Make Payments”. You will need to accept the terms and conditions once more and then you can begin making payments! What are the advantages of booking online?
Groups can be set up in POL as long as the Amenity Recall Date has not already been reached (90 days prior to sailing). Once this date has been reached, it is still possible to set up a group but, it must be done over the phone with the Group Administration department. Call 1‐888‐425‐9477.

Can I make group bookings online?
Yes, it is easy to make and manage group bookings with POLAR Online. Our PDF Booking Groups with POLAR Online will give you everything you need to get started.

Can I call in and make bookings while my Holland America registration is being processed?
Bookings can be made under “New Agent” while your HAL registration is being processed. However, once your agency profile is ready you will need to make sure that your bookings are transferred onto it. Although you are able to pay the deposit on New Agent bookings you should not pay them in full. If you do so before they are transferred, the bookings will not show commission and your agency will not receive credit for the revenue. To transfer your bookings to your agency please contact World Cruise Reservations at 1‐800‐522‐3399. Once the bookings are on your new profile you will be able to view your bookings with Polar Online.

Can I make bookings while my POLAR Online registration is being processed?
Yes, you are able to make bookings since your agency is already set up in our system. Once your registration is complete you will be able to view existing bookings with Polar Online.

If my agency has signed up for POLAR Online but I don't have a user name and password, how can I access POLAR Online?

No, you cannot book online without a POLAR Online login.

Do I need to enroll separately for other areas of TAHQ?
Yes. Your POLAR Online user name and password will not be accepted at the HAL Academy or the NPC-Commission Express website. These sites require a unique user ID and password. Please sign up separately.

After I have signed up to access POLAR Online will I automatically receive promotional offers via e-mail?
No. Please request to receive the latest promotional offers and news from Holland America Line via e-mail. You can sign up for travel professional email promotions here.
